Prezi is a presentation tool that helps transform lack-luster, static presentations into engaging presentations that tell a story.

Instead of moving slide to slide, like a PowerPoint or Keynote presentation, Prezi presentations capture content in a spatial context. Because of this, your audience may be more engaged with your presentation.

If you’ve been using PowerPoint, you can import an existing PowerPoint presentation and transform it into a Prezi.

Let’s take a look at some example presentations using Prezi that demonstrate how this tool can be used to take your presentations to the next level.

This is a great example of how to effectively use Prezi and also gives you an idea of the features you will find in the program. It does a great job of illustrating Prezi’s story using images , facts and statistics.

By featuring a how-to on importing a PowerPoint file, Prezi highlights one of it’s main selling points.

To close, showing specific examples of people who use Prezi is a great way to show the value Prezi brings to a market that otherwise hasn’t seen much innovation.

2. Obama vs Romney

This Prezi states the simple facts about each candidate in the 2012 election. The presentation flows from one segment to the next rather than jumping from slide to slide.

It presents the facts in an understandable way, and because of the format and segmented design, it’s easy to compare the two candidates.

Most successful presentations end in some sort of call to action . Appropriately, this one calls you to vote!

3. Prezi Book – Mastering Prezi for Business Presentations

Russel (The Prezenter) Anderson-Williams wrote the book on using Prezi for business presentations (literally!). This is his presentation to promote his book.

In it, he uses embedded video, audio and hyperlinks to tell his story and walks the listener through how to do all these things within Prezi.

The illustrative style of the presentation puts the watcher in the learning seat which goes hand-in-hand with the educational nature of the presentation. Tying the design to the objective of the presentation helps make this Prezi successful.

To conclude the presentation, there are a couple calls to action including clicking on links to purchase the book and signing up for his online Prezi training course.

4. A Presentation on Presentations

In this Prezi about how to effectively make a Prezi, the presenter walks you through the reasons why Prezi’s format is conducive to creating a memorable experience and triggering action among your audience.

It walks you through important aspects of any presentation, like making you feel emotion and telling a story, while also showcasing the templates and features Prezi has available.

The presentation is sprinkled with facts and examples throughout, which adds interest and lends credibility to the presenter.

5. The Magical Theory of Relativity

Can Prezi make learning about the theory of relativity fun? See for yourself in this great Prezi created by Petra Marjai.

The Prezi tells the story of how the theory came about and also uses illustrative examples from everyday life to explain the theory.

Aside from great story telling and examples, this Prezi is also a great example because of the simple color palette that is used consistently throughout the presentation.

Another of its successes is good typographic hierarchy. The main points are in large text, while the smaller points are in smaller text – similar to cascading bullet points in a traditional PowerPoint, but much more differentiated and engaging.

6. Red Bull Stratos

This Prezi on the Red Bull Stratos free-fall stunt was created to tell the story around the stunt. It gives background on the purpose, facts and goals about the process as well as a link to more information. It also utilizes an embedded video and link.

The last screen of the presentation shows the full context of the story in one large view. With longer presentations, it might not be realistic to zoom out and show the whole story in one view, but for a short story like this, it’s a great method to show how all the points relate back to the larger context of the story.

7. Mathematweets

This last example of a successful Prezi was created by Maria Andersen to illustrate how Twitter can be used in the education system. It uses well-crafted illustrations to go beyond teaching about what Twitter is and how it can be used, to telling the story of how it was used (both successfully and unsuccessfully) in the cyber classroom.

The illustrator uses cartoon people and branches of a tree to ask and answer questions, seamlessly transitioning from point to point and question to question. The branches and people, and the ability to see the entire frame in view at once, shows the correlation and context of the various questions and answers.

A call to action, story telling, and using spatial context to visualize ideas are all key elements that make these presentations successful.

How the CEO of Prezi Continues to Grow a Business That Went From 1 Million to 100 Million Users Jim Szafranski, CEO of Prezi, discusses the evolution of his software app.

In this ongoing series , we are sharing advice, tips and insights from real entrepreneurs who are out there doing business battle on a daily basis. (Answers have been edited and condensed for clarity.)

Who are you and what's your business?

I am Jim Szafranski, CEO of Prezi, which makes a virtual presentation software app that is the most engaging way to share information with remote audiences. Our anchor product Prezi Video lets you bring any content onto the video screen with you during a video conference or recorded video, like a newscaster or weather person. We plug into Zoom, Microsoft Teams, Cisco WebEx, Google Meet and Slack, and are being used by more than 20,000 companies, 100+ of the Fortune 500 and the majority of US school districts.

What inspired you to create this product? What was your "aha moment"?

Prezi's first investor was TED Conferences, so we've been used frequently over the years by TED presenters, and our "aha" moment came when a presenter needed to "beam himself and his content" from Stanford to the main stage of the TED Conference in Vancouver. We developed an AR prototype and his presentation content appeared on stage in a very lifelike way (almost like Star Trek ).

From there, we focused on building something that would let you have a presence among your content so that you could interact with the content and bring the audience in deeper. We launched Prezi Video in November of 2019 and had no idea how soon the world would go full virtual just months later.

What advice would you give entrepreneurs looking for funding?

Look as close to your network as possible. Your credibility and passion are so important, so anything to improve the chances of you coming across as credible and a known quantity will help.

Look for investor teams who have a passion for your area. They have a better chance of intrinsically understanding your idea, which reduces uncertainty — the key friction that keeps people from investing.

The holy grail is with your early customers. Getting them to fund the seed stage puts you in a great position to raise institutional money and at better terms because you have de-risked the idea.

Any advice for preparing for a pitch?

The VC isn't looking to just give you money. They are looking to partner with you and spend a lot of time working together on solving problems and making key decisions. So, your pitch is a good opportunity to explore that connection together. Don't just present the logic and the opportunity. Also, work to create an emotional connection with the idea. Relate the product and service to their lives. Imagery, interactivity or a unique conversational experience, helps.

What has been your biggest challenge during the pandemic and how did you pivot to overcome it?

Staying in connection with the team, in particular in Europe (8 time zones apart from my location). Part of my solution was mechanical - I shifted my workday earlier and engaged in more proactive communications — posting updates weekly on our internal wiki, increased our all-hands frequency from bi-weekly to weekly. Overall, I had to replace all the information and hallway conversations through deliberate practice.

The big epiphany has been asynchronous video, i.e. sending recorded videos that don't require coordinating a live meeting. It cuts down on time spent in live video calls, lets more introverted team members contribute on their own timeline, and overall encourages people to own their schedules while still empowering them to give full virtual presentations at any time. We still do video calls for brainstorms, all hands and planning meetings, but we keep meetings async where it's just giving updates or sharing feedback.

What does the word "entrepreneur" mean to you?

Someone who so badly wants to bring their idea to the market and improve the lives of their customers, that they push against all the odds and immense challenges to actually do it.

Is there a particular quote or saying that you use as personal motivation?

My motivation is largely intrinsic and based on my appreciation for my parents and their parents and all the hard work and sacrifices that everyone before me has made to ensure that I have amazing opportunities in life. I want to make the most of this opportunity. Where I most often look for inspiration is in how to act. One really simple saying, that I learned 17 years ago from a manager, that has helped me act is the idea of "seven different ways, seven different times". It's known as the 7x7 Rule for communications. Reminding me that I need to share my messages seven different ways and seven different times to ensure that I'm doing a good job communicating, giving my intended audience a chance to understand and connect with me. I think as entrepreneurs that we all can benefit from this reminder and take courage from it to share our ideas broadly and often to help bring about the change we seek.

How to choose a good presentation topic

There are millions of topics you could create a presentation on, but what defines a good presentation topic? If you’re struggling to either come up with a good topic for a presentation or you can’t decide between multiple ones, here are a few questions you should ask yourself before choosing a topic. 

What’s the goal of your presentation? 

When you’re choosing a presentation topic, consider the meaning behind it. Ask yourself what the purpose of talking about this topic is, and what you want to say about it. Whatever topic you choose to present, the conclusion needs to provide a takeaway or lesson you want to communicate to your audience. A meaningful goal will make your presentation more memorable.  

Are you interested in the topic?

If you’re not interested in the presentation topic, others won’t be curious either. Interest, enthusiasm, and passion enrich your presentation and are noticeable when presenting. Interest shines through and inspires others to find the topic as fascinating as you do. Think about the last time you saw someone sharing something they were passionate about – their excitement drew people in to pay closer attention to what they were saying. 

When choosing a topic, you need to find it or a particular angle of it interesting for yourself. For example, perhaps you’re not a pop music enthusiast, but you’re passionate about studying cultural phenomena. In this case, you can talk about pop music’s influence on early 2000s youth culture. 

Will your audience find this topic relatable? 

While you have to find the topic you’re presenting interesting, you also have to think about your audience. When choosing a subject, consider your audience’s background in terms of demographics, interests, culture, and knowledge level about the topic. Think about what others will find fascinating and relevant, so they’re not bored or confused during your presentation.

Do you have prior experience or knowledge about this topic?

Personal experiences are always great to share in a presentation, providing your unique perspective for anyone listening. While you can easily prepare your presentation based on a quick Google search, it won’t make the same lasting impact on your audience. Choose a presentation topic you have some prior knowledge about, or have an interesting opinion you can share with others. It’ll make your presentation more engaging and memorable.

How to create a good presentation

Choosing a topic for a presentation isn’t easy. When selecting a topic, think about the goal of your presentation, your interests, and knowledge about the topic, and whether or not your audience will find it relevant and interesting for them. Turning a presentation into a video

Want to take your presentation to the next level? Then turn it into a video so you and your content are both visible on the same screen. Prezi will automatically remove the background of your presentation, putting you right next to your visuals so you can tell your story in an even more memorable and engaging way. You can then make a recording of your video or even stream it live.

Turning your presentation into a video

Once you are done with adding content ( text , images , icons , charts , etc.) and structuring your presentation , click on the Create video button in the top toolbar to open the "Prezi Video" sidebar, then choose the option to appear next to your content from the popup window.

Allow camera access

To start creating a video, allow camera access to Prezi. You can use a built-in camera or connect an external camera for higher resolution.

Once you allow camera access, you'll see the background of your presentation removed and replaced by you. Hi!

Adjust your content

Since your face should also be visible alongside your content, you might need to rearrange objects on your canvas so nothing covers you while presenting. Use the Adjust content button in the sidebar to automatically shift the layout of the presentation to the right or drag and drop to manually move objects. 

You can still add, delete or modify your content the same way as if you were editing any Prezi presentation and can also freeze or turn off the camera anytime. We’ll make a copy of your presentation after adjusting the layout, so this version will be specifically for recording your video. You will still be able to edit and present the presentation in its original format as well.

Take a deep breath and run through your presentation a few times to get the feel of how it will look. Then, hit record to start your first take. Don’t worry if you don’t get it right on the first try, you can go through the presentation as many times as you want to get in the groove and get ready for the camera to roll.

Record or go live

It’s showtime! You can either record a video and save it as a .mp4 file to share or send it later or stream it live through the Prezi Video desktop app to present it in real time.

Record video

You will be redirected to the Prezi Video online editor where you can record your video and export it as an .mp4 file.

Use the three icons at the bottom left to switch between different views (only you on the screen, you and your content on the screen, only your content on the screen - you can also use the 1, 2 and 3 keys accordingly to switch) and the arrows on the right to move to the next/previous slide + the Home and Back buttons on the right side of the video window to return to the overview or to the previous level of the presentation. You'll also see the preview of the upcoming slide in the right sidebar.

If necessary, you can  pause your recording  by clicking the red button under the video window and resume by clicking the same button again. When you're finished, click the Done recording button and your video will start processing.

Once your video is processed, give it a catchy title, add some hashtags and adjust the privacy settings. Your video will be available on your Prezi Video dashboard but you can also download it to your computer directly from this page.

You already know how to live stream your Prezi presentation , but if you want to make your remote meetings and webinars even more memorable, you can present your content in real-time while being there next to it on the screen, explaining the details.

With the desktop application, you can also import your existing Prezi presentations and record a video in 1080p resolution, without the 15-minute time limit. *

When you have the opportunity to connect with an audience, stating fact after fact is not the way to go. You have an opportunity to connect more deeply than you can with just facts. Granted, some presentations are solely to convey updated information. But if that’s the case, you’re probably better off just emailing the particulars and saving everyone time. The best use of a presentation is to motivate others.

Staying flat and factual can work in a scientific report setting, but it won’t help motivate most audiences. Facts alone don’t help audience members understand why the information is important: You’re possibly relying too heavily on attendees to surmise the meaning behind them and make connections between point A and point B. You’re making the audience work way too hard to identify the decision you’re hoping to persuade them to make.

Using emotion is a way to bring emphasis to the details and help them stand out. You want to complement facts with a pinch of content that will help the audience understand the value of the data and the valuable outcomes if it’s acted upon — or the consequences of it being ignored.

But if you had an audience of, say, biotech engineers, and you pulled the emotional strings too hard, that would be a huge mistake. And if you had a sales team you were trying to pump up, and you went full-on data, that would also be a mistake. You need to empathetically think about what’s going to be the right amount of emotional appeal and the right amount of intellectual appeal for your audience before your presentation. You need to blend your content the right way, almost like a recipe. You need balance.

Credibility plays a crucial role in this balancing act. By demonstrating that you have an understanding of the audience’s preferences and needs, you’re establishing common ground, and that reinforces your reliability. Your established trustworthiness and expertise provide a solid foundation that amplifies the impact of your presentation.

This isn’t a new idea. Back in the fourth century B.C., the Greek philosopher Aristotle claimed that to persuade, one must employ three types of argument:

  • Logos, or logical appeal, where the speaker provides evidence through words and data.
  • Pathos, or emotional appeal, where the speaker stirs the emotions and imaginations of audience members.
  • Ethos, or ethical appeal, where the speaker leans into their existing credibility and character.

Aristotle’s rhetorical appeals are still relevant today. What’s key for managers, and often quite difficult, is knowing how to balance these appeals to an audience. Whether you’re presenting to a room full of engineers, a group of potential investors, or your colleagues and peers, the ability to calculate the right level of logic and emotion — in a way that resonates with the audience’s roles, industries, and problems — is a profoundly useful skill.

First, Understand Your Audience

The first step in reaching for this balance is understanding your audience members. Are they data-driven decision makers who thrive on statistics and factual evidence? Or are they more likely to be swayed by personal stories and emotional connections? The industry, department, and roles of your audience members may help you define the ratio of analytical to emotional content to aim for as you engage them. If you don’t take time to understand your audience, you risk creating an imbalance. What’s more, when you show up with emotional or analytical energy that doesn’t match the audience’s, it hurts your credibility. (See “An Analytical and Emotional Balance That’s Just Right.”)

When presenting to analytical audiences, you want to pull back on how much you apply an emotional appeal. Use it lightly and with intention. Heavily analytical folks are still human, so it can be motivating to include material in a presentation that shows, for example, how lives will be changed if people take action from the data presented.

For more emotionally driven audiences or emotionally charged content, you want to pull back on the analytical appeal. Allow the audience to become immersed in all the feels. Emotionally driven audiences don’t enjoy the overuse of facts and details. They want to know that data has been carefully considered, but they likely won’t want to see 20 slides with charts.

The right balance is key. Even if you’re the most remarkable presenter in the world, being too geeky or too expressive in your storytelling can create a chasm between you and the audience.

For example, it’s easy for many of us to get caught up in numbers. To be successful in most jobs, we work with data, charts, graphs, timelines, and dashboards all the time. But when launching a revolutionary new product, it’d be unwise to overwhelm an audience with too many figures. While analytical content is essential, it should always be presented in a digestible and engaging manner.

Facts and Feelings: The Perfect Blend for Persuasive Presentations

To address both the mind and the heart, you must create a compelling narrative that is both persuasive and memorable. To do this, step back and inventory your slides to identify any content that can be made either more analytical or more emotional. Think about what balance you’re aiming for overall. Change the tone and content of slides where appropriate; for example, a slide with statistical data can be followed by a slide with a powerful quote or a compelling image.

Examples of typical types of analytical content include statistical data and facts; charts, graphs, and visual data; quotations from experts; logical arguments and reasoning; citations from research and studies; diagrams and explanatory videos; demonstrations and specimens; and appendices with documentation.

Examples of typical types of emotional content include anecdotes and stories; humor; emotive exclamations, like “This is amazing”; evocative photos and illustrations; metaphors and similes; suspenseful reveals and bold statements; dramatic music and sound effects; dramatizations and physical props; and rewards, benefits, and offers.

Whether you’re tilting to the head or the heart, you need to connect with the audience on a personal level.

Of course, analytics and emotions often can be blended for impact. You can attach data to anecdotes or tell stories about the people who generated the logical arguments to humanize your message. Charts and graphs can be designed to evoke emotion — for example, a chart can be revealed gradually , bar by bar, to create suspense and keep the audience invested in your narrative, and a graph showing a significant improvement can be paired with images of the team celebrating the achievement. And connecting data to something the audience really cares about demonstrates its value and makes it sticky. For example, don’t just say that a product creates 30% efficiency; say, “Our product creates 30% efficiency. Now, imagine how much more time you’ll have each day for higher priorities if each task is completed faster.”

Tying rewards, benefits, or offers directly to your call to action can further enhance the emotional appeal of your presentation. For instance, emphasizing how adopting a new strategy will not only improve efficiency but also lead to tangible payoffs, such as bonuses or professional growth opportunities, creates a compelling reason for your audience to act. This connection between action and personal gain helps motivate and engage your audience on a deeper emotional level.

And whether you’re tilting to the head or the heart, you need to connect with the audience on a personal level. When detailing statistics about a new product launch, share the stories about the journey of its development, highlighting the challenges overcome and the passion behind its creation.
