1. Choose Your Slides

To delete unwanted slides, click on the View tab and select Slide Sorter . Then, hold down the Shift key and click on each slide you don’t want to keep. After you've selected all the unnecessary slides, right-click and select Delete slide . Then, switch back to Normal view .

To change the colors, click on the Design tab and select a different color theme. Or right-click on any colored area and select Format shape . Then, click on Fill > Solid Fill and enter your own color code. 

5. Add Your Own Images

The last step is to add your own images or photos. Most PowerPoint project status report templates come with image placeholders. It’s easy to do. Click on an image placeholder icon, choose an image from your computer, and click Insert .

3. Break Your Project Down

Project status reports are about breaking down the components of your project, so turn them into digestible pieces. Consider one slide that contains a road map, section breakdown, or project phases.

4. Add an Expenses Page

The road map to achieving a particular goal is important, and so is including your expenses. This expense slide can be a simple list of all the expenses that you've accrued.

5. Add Milestones

On a project status report, include all the milestones that you've reached. Add any future milestones that you plan to reach with your project. This is essential for your audience to know what you've done and what you plan to do.

6. Add a Summary Slide

Be it at the beginning or the end of your presentation, it's a good idea to add a summary slide. This can be where you highlight the essential topic you'll touch on or give a reminder of what you just mentioned. Either way, it can help your audience keep their attention on crucial aspects of your presentation.

7. Provide Helpful Links

A great PowerPoint presentation shares the key points of a specific subject. However, sometimes, project status reports require more information and data. To that end, it's helpful to include links to resources that can help your audience seek more information if they need it. Here's one example of how to do it:

8. Highlight Next Steps

Last but not least, highlight next steps. Knowing the basis of where the project is at is incredibly helpful. However, it's just as (or even more) important to let your audience know what actions you'll be taking to keep the project progressing. Don't forget to highlight the course of action so everyone can be on the same page.

This AI Graphics Startup Is a Cheap, Easy Alternative to Adobe and Canva

Napkin AI is a text-to-visual graphics generator that's great for cleaning up your presentations or spicing up a report.

Napkin AI wants you to stop using so many words in your PowerPoints and Google Slides.

Napkin is a text-to-visual AI tool where you can upload text to a blank doc, or a "napkin," and it will generate a visual representation of your information. Napkin is one of a plethora of AI startups that sprung up as generative AI technology advanced with chatbots like ChatGPT and image generators like Midjourney . It's not a data visualization tool -- you can't upload an Excel database and get bar graphs and pie charts. But you can use Napkin to create graphics for presentations, blog posts, reports and school assignments, among other things.

Napkin officially launched in August, but my colleague and I snagged a preview demo with its founder, Pramod Sharma. Sharma spent a good bit of his career working at Google, specifically on the Docs team, and you can see that influence in the way Napkin looks and functions. Sharma described Napkin as a "visual Google Docs editor," with the goal of users experiencing the "art of making things fun and delightful." Napkin is currently available in English and announced today that it will begin rolling out support for German, French, Japanese and Chinese.

There are a lot of different graphic design and visual creation programs, but giants like Adobe and Canva make up a big part of the market. They're also both investing in AI-powered tools, including image generators like Firefly and Magic Media , with varying degrees of success. I've used and reviewed a lot of AI creative services, and after using Napkin, I do think there's a place for it among these competitors. 

The best thing Napkin has going for it is that it's easy to use and can create graphics quickly. It's great for enhancing a presentation quickly or adding extra flair to a report. Students, small businesses and other creators who don't want to spend the time (or money) using advanced services will benefit from Napkin's bare-bones efficiency.

Here are three of the best ways I found to use Napkin. And if you create an account now while it's still in beta, you'll get more personalization options for free. 

Adding pizazz to presentations

In my testing of Napkin, I had it create graphics to improve presentation slides, break down a complicated topic for an article and brainstorm different visual ideas. Napkin was good for all the above tasks, but it was by far the best for polishing off a presentation. 

A general rule of thumb while creating decks is to have as few words as possible on your slides. This is where Napkin can be helpful. You can upload a chunk of text to Napkin, and it will trim it down and convert it to a visually appealing graphic you can copy and paste onto your slide. 

Generation time is quick, between 10-30 seconds. Napkin does collect and anonymize users' data and interactions with its AI for training purposes, but Sharma confirmed via email that your personal information remains private and your uploaded text isn't used to generate content for other users. As with any AI service, I caution against uploading sensitive information to the site.

I pulled an old presentation from a film class I took in college to test it. My original slide was wordy, with seven long bullet points. Napkin came up with really unique graphics, including a pro-con list I really liked and a more artistic visual that summarized my main point of the slide, which was that Netflix's original movies suck. I recreated the slide with the new graphics to compare, and it's way easier to digest now, rather than having people's eyes glaze over with a big block of text.

I pulled some other slides from presentations, including drier ones explaining different theories of communication and summaries of various novels. Each time, Napkin came back with graphics that not only made my slides more fun but also easier to understand. I did do some editing to make my points clear, but for the limited amount of text I took out of the context of the whole presentation, Napkin held up well. One thing I would've loved is the ability to customize my graphics to match the exact colors of my deck theme, but it was all right for now.

Breaking down complicated topics

If you're not well-versed in graphic design strategy, you might want to take advantage of Napkin as a brainstorming tool. Throughout my testing, I found it to be very creative and versatile, so you can explore a lot of different options based on the same text. To put its creativity to the test, I had Napkin come up with four different graphics to explain the concept of the fediverse, a set of interconnected, decentralized social media platforms built on a set of rules called the ActivityPub protocols. I have a whole article explaining what it is, but I wanted to see what Napkin would come up with to break down a complicated topic. These are some of the top choices.

The first three suggested graphics looked nice, but as someone with an understanding of the material, they're misleading. The first pinwheel graphic correctly identifies several fediverse platforms I list in my text, but incorrectly places the ActivityPub protocols with them; they're what underpin all the platforms. The second graphic pulled a bunch of relevant keywords, but it's not helpful without explaining why they're relevant. The last cycle graphic was interesting because it did pull more implicit information out of my text, but it didn't answer my core question of what is the fediverse.

After scrolling a bit, I found a good match. With this graphic, Napkin correctly pulled relevant platforms, contextualized the ActivityPub protocols correctly and highlighted two key facets of the fediverse -- decentralization and open source. This is a great visualization because it gives the reader a good framework of understanding what's important at a glance and can spark interest to read further. While it took a bit of work to get the best graphic -- and I would've edited it before publishing -- I was pretty satisfied with Napkin's ability to read and synthesize the text I gave it. No AI tool is perfect, after all.

Brainstorming image ideas

If you're not quite sure what kind of graphic you want, Napkin is great for brainstorming ideas. I pulled some text -- the most I tested was about 157 words -- from a guide I wrote about how to write the best AI image prompt and fed it to Napkin. I wanted to highlight the three essentials each AI prompt should include, but I didn't care how exactly it did that. Napkin came back with a lot of different ideas, and it was nice to be able to browse through all the options since I wasn't married to a specific design or look. This is the one that immediately caught my eye.

Beyond just highlighting the elements I discussed in my text, Napkin's graphic reinforced my point about how essential these things were by displaying them as columns. Without one, the building falls, and the prompt fails. Any of the visuals Napkin created would've been fine, but this one communicates their importance implicitly. This is a great example of something I've found time and time again while testing AI image services -- humans have to be involved in the design strategy and process, otherwise your results won't resonate with your audience. Napkin, like every other AI service, is just a tool to help get you there. For all of these examples, our creators at CNET could've come up with these graphics and probably improved upon them. But for people without a large creative team or a lot of time to create, or for those just looking to spark some initial ideas, Napkin is a great place to start.

TL;DR: Napkin is promising

It's safe to say that AI art startups like Napkin are in a tough position of having to prove they have something different and useful to offer. In this case, I'm optimistic that Napkin is on track. It's user-friendly and creative enough to provide for amateur creators like me, but it's also a helpful, back-pocket tool for professional creators beginning the design process.

My two biggest wish-list items are more customization options, especially custom colors and fonts, and integrations with other text-process software. I would also love to see Napkin give users the ability to opt out of AI model training entirely, something that I imagine would be desirable for businesses as well as privacy-minded folks.

One of the things that I have found repeatedly with AI creative tools, including Napkin, is how present the human using the service has to be and how these tools can't be used successfully without human-design strategy and decision-making. It doesn't matter if you generate hundreds of different Napkin graphics if you don't know your audience and material well enough to decide which will be the best choice to deliver that information. With that in mind, Napkin is promising, and I'm excited to see it continue to build out new features and functionalities.

How To Present a Patient: A Step-To-Step Guide

The ability to deliver oral case presentations is a core skill for any physician. Effective oral case presentations help facilitate information transfer among physicians and are essential to delivering quality patient care. Oral case presentations are also a key component of how medical students and residents are assessed during their training.

At its core, an oral case presentation functions as an argument. It is the presenter’s job to share the pertinent facts of a patient’s case with the other members of the medical care team and establish a clear diagnosis and treatment plan. Thus, the presenter should include details to support the proposed diagnosis, argue against alternative diagnoses, and exclude extraneous information. While this task may seem daunting at first, with practice, it will become easier. That said, if you are unsure if a particular detail is important to your patient’s case, it is probably best to be safe and include it.

Now, let’s go over how to present a case. While I will focus on internal medicine inpatients, the following framework can be applied to patients in any setting with slight modifications.

Oral case presentations are generally made to a medical care team, which can be composed of medical and pharmacy students, residents, pharmacists, medical attendings, and others. As the presenter, you should strive to deliver an interesting presentation that keeps your team members engaged. Here are a few things to keep in mind:

  • Be confident: Speak clearly at the loudest volume appropriate to protect patient privacy, vary your tone to emphasize the most important details, and maintain eye contact with members of your team.
  • Don’t fidget : Stand up straight and avoid unnecessary, distracting movements.
  • Use your notes : You may glance at your notes from time to time while presenting. However, while there is no need to memorize your presentation, there is no better way to lose your team’s attention than to read your notes to them.
  • Be honest: Given the importance of presentations in guiding medical care, never guess or report false information to the team. If you are unsure about a particular detail, say so.

The length of your presentation will depend on various factors, including the complexity of your patient, your audience, and your specialty. I have found that new internal medicine inpatients generally take 5-10 minutes to present. Internal medicine clerkship directors seem to agree. In a 2009 survey , they reported a range of 2-20 minutes for the ideal length of student inpatient presentations, with a median of 7 minutes.

While delivering oral case presentations is a core skill for trainees, and there have been attempts to standardize the format , expectations still vary among attending physicians. This can be a frustrating experience for trainees, and I would recommend that you clarify your attending’s expectations at the beginning of each new rotation. However, I have found that these differences are often stylistic, and content expectations are generally quite similar. Thus, developing a familiarity with the core elements of a strong oral case presentation is essential.

How to Present a Patient

You should begin every oral presentation with a brief one-liner that contains the patient’s name, age, relevant past medical history, and chief complaint. Remember that the chief complaint is why the patient sought medical care in his or her own words. An example of an effective opening is as follows: “Ms. X is a 78-year-old female with a past medical history of chronic obstructive pulmonary disease who presents to the hospital after she felt short of breath at home.”

Following the opener, elaborate on why the patient sought medical care. Describe the events that preceded the patient’s presentation in chronological order. A useful mnemonic to use when deciding what to report is OPQRST , which includes: • The Onset of the patient’s symptoms • Any Palliative or Provoking factors that make the symptoms better or worse, respectively • The Quality of his or her symptoms (how he or she describes them) • The Region of the body where the patient is experiencing his or her symptoms and (if the symptom is pain) whether the patient’s pain Radiates to another location or is well-localized • The Severity of the symptoms and any other associated Symptoms • The Time course of the symptoms (how they have changed over time and whether the patient has experienced them before) Additionally, include any other details here that may support your final diagnosis or rule out alternative diagnoses. For example, if you are concerned about a pulmonary embolism and your patient recently completed a long-distance flight, that would be worth mentioning.

The review of systems is sometimes included in the history of present illness, but it may also be separated. Given the potential breadth of the review of systems (a comprehensive list of questions that may be asked can be found here ), when presenting, only report information that is relevant to your patient’s condition.

The past medical history comes next. This should include the following information: • The patient’s medical conditions, including any that were not highlighted in the opener • Any past surgeries the patient has had and when they were performed • The timing of and reasons for past hospitalizations • Any current medications, including dosages and frequency of administration

The next section should detail the patient’s relevant family history. This should include: • Any relevant conditions that run in the patient’s family, with an emphasis on first-degree relatives

After the family history comes the social history. This section should include information about the patient’s: • Living situation • Occupation • Alcohol and tobacco use • Other substance use You may also include relevant details about the patient’s education level, recent travel history, history of animal and occupational exposures, and religious beliefs. For example, it would be worth mentioning that your anemic patient is a Jehovah’s Witness to guide medical decisions regarding blood transfusions.

Once you have finished reporting the patient’s history, you should transition to the physical exam. You should begin by reporting the patient’s vital signs, which includes the patient’s: • Temperature • Heart rate • Blood pressure • Respiratory rate • Oxygen saturation (if the patient is using supplemental oxygen, this should also be reported) Next, you should discuss the findings of your physical exam. At the minimum, this should include: • Your general impressions of the patient, including whether he or she appears “sick” or not • The results of your: • Head and neck exam • Eye exam • Respiratory exam • Cardiac exam • Abdominal exam • Extremity exam • Neurological exam Additional relevant physical examination findings may be included, as well. Quick note: resist the urge to report an exam as being “normal.” Instead, report your findings. For example, for a normal abdominal exam, you could report that “the patient’s abdomen is soft, non-tender, and non-distended, with normoactive bowel sounds.”

This section includes the results of any relevant laboratory testing, imaging, or other diagnostics that were obtained. You do not have to report the results of every test that was ordered. Before presenting, consider which results will further support your proposed diagnosis and exclude alternatives.

The emergency department (ED) course is classically reported towards the end of the presentation. However, different attendings may prefer to hear the ED course earlier, usually following the history of present illness. When unsure, report the ED course after the results of diagnostic testing. Be sure to include initial ED vital signs and any administered treatments.

You should conclude your presentation with the assessment and plan. This is the most important part of your presentation and allows you to show your team how much you really know. You should include: • A brief summary (1-2 lines) of the patient, the reason for admission, and your likely diagnosis. This should also include information regarding the patient’s clinical stability. While it can be similar to your opener, it should not be identical. An example could be: “Ms. X is a 78-year-old female with a past medical history of chronic obstructive pulmonary disease who presents with shortness of breath in the setting of an upper respiratory tract infection who is now stable on two liters of supplemental oxygen delivered via nasal cannula. Her symptoms are thought to be secondary to an acute exacerbation of chronic obstructive pulmonary disease.” • A differential diagnosis . For students, this should consist of 3-5 potential diagnoses. You should explain why you think each diagnosis is or is not the final diagnosis. Be sure to rule out potentially life-threatening conditions (unless you think your patient has one). For our fictional patient, Ms. X, for example, you could explain why you think she does not have a pulmonary embolism or acute coronary syndrome. For more advanced trainees, the differential can be more limited in scope. • Your plan . On regular inpatient floors, this should include a list of the patient’s medical problems, ordered by acuity, followed by your proposed plan for each. After going through each active medical problem, be sure to mention your choice for the patient’s diet and deep vein thrombosis prophylaxis, the patient’s stated code status, and the patient’s disposition (whether you think they need to remain in the hospital). In intensive care units, you can organize the patient’s medical problems by organ system to ensure that no stone is left unturned (if there are no active issues for an organ system, you may say so).

Presenting Patients Who Have Been in the Hospital for Multiple Days

After the initial presentation, subsequent presentations can be delivered via SOAP note format as follows:

  • The  Subjective  section includes details about any significant overnight events and any new complaints the patient has.
  • In the  Objective  section, report your physical exam (focus on any changes since you last examined the patient) and any significant new laboratory, imaging, or other diagnostic results.
  • The  Assessment  and  Plan  are typically delivered as above. For the initial patient complaint, you do not have to restate your differential diagnosis if the diagnosis is known. For new complaints, however, you should create another differential and argue for or against each diagnosis. Be sure to update your plan every day.

Presenting Patients in Different Specialties

Before you present a patient, consider your audience. Every specialty presents patients differently. In general, surgical and OB/GYN presentations tend to be much quicker (2-3 minutes), while pediatric and family medicine presentations tend to be similar in length to internal medicine presentations. Tailor your presentations accordingly.

Presenting Patients in Outpatient Settings

Outpatients may be presented similarly to inpatients. Your presentation’s focus, however, should align with your outpatient clinic’s specialty. For example, if you are working at a cardiology clinic, your presentation should be focused on your patient’s cardiac complaints.

If your patient is returning for a follow-up visit and does not have a stated chief complaint, you should say so. You may replace the history of present illness with any relevant interval history since his or her last visit.

And that’s it! Delivering oral case presentations is challenging at first, so remember to practice. In time, you will become proficient in this essential medical skill. Good luck!

  • Start with introducing the book to the audience. Give its title, author’s name, date of publication, genre.

Try to keep your sentences short and simple. Long, complex sentences are harder to follow. Limit yourself to just a few key points. The three basic parts

• Introduction—This is your chance to engage your audience and really capture their interest in the subject you are presenting. Use a funny personal experience or a dramatic story, or start with an intriguing question.

• Body—This is the longest part of your report. Here you elaborate on the facts and ideas you want to convey. Give information that supports your main idea, and expand on it with specific examples or details. In other words, structure your oral report in the same way you would a written essay so that your thoughts are presented in a clear and organized manner.

• Conclusion—This is the time to summarize the information and emphasize your most important points to the audience one last time.

Preparing Your Delivery

Practice makes perfect. Confidence, enthusiasm, and energy are key to delivering an effective oral report, and they can best be achieved through rehearsal. Ask family and friends to be your practice audience and give you feedback when you’re done. Were they able to follow your ideas? Did you seem knowledgeable and confident? Did you speak too slowly or too fast, too softly or too loudly? The more times you practice giving your report, the more you’ll master the material. A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

In a corporate context, presenting works wonders for a career. Most professionals get exposure to presenting to informed colleagues and department managers. It’s an ideal way to get visibility and show value. But a management presentation to senior executives who aren’t familiar department nuances is a different ballgame.

A management presentation is a high-level summary to senior executive that optimizes reports to include only the details relevant to directorial decisions . They are notoriously difficult to navigate for two reasons: 1. most executives do not have working knowledge of the nuances in each department , 2. presenters rarely have time to understand executives’ preferences .

More than anything else, good management presenters learn how to strike a balance in the degree of detail: they provide enough detail so executives make informed decisions, but not so much detail that they cause confusion.

This article explores how to make a good management presentations in PowerPoint using 4 management presenting best practices , 4 management presenting techniques , providing examples for each, and finishing with a management presentation template you can apply in real life. You can use it as a jumping off point for deeper communication curriculum .

I will use a financial analyst perspective in this article, but everything here applies to data and business analysts as well.

Ask Executives Their Preference Ahead of Time

If you’ve ever taken a class on presentation techniques, you’ve heard the old adage “know your audience.” It’s true, the best way to deliver a great presentation is to align your message with what your audience already understands. The same applies to a management presentation.

The challenge is that, more often than not, executives are too busy for you to get to know them well. This means you hardly get the chance to understand how they like presentations. So what can you do? Well, ask them! There’s no harm in sending an email to understand better. And what’s more, once you know, you can always defer to their preferences in the future.

For a financial management presentation, common questions to ask include the following:

  • Do you prefer to see raw data, or only visualizations?
  • Do you prefer charts or table summaries?
  • Would you like a written explanation on paper for each slide?
  • Do you like averages alone, or do you prefer means, or standard deviation?
  • What interests you most in a presentation?

If you gather some helpful insights, then your presentation will be that much better. That said, you may not get a response, or it may be quick and not insightful. But most senior executives will appreciate you asking .

The best part is you will be able to surprise them. Using the best practices and techniques below, in additional to any insights gathered form your email, will work wonders for you.

Have 1 Message, and 1 Message Only

The easiest mistake to make on a management presentation is trying to deliver multiple messages. Senior executives go through loads of meetings every day, and each meeting they have includes a wave of information. Your mission should be to deliver 1 essential message so they can easily understand and compartmentalize it.

This is no easy task. When I try to narrow down the focus of my management presentation message, it seems like I leave out critical information along the way. The key is to tell a story to incorporate critical information as part of a story towards the essential message.

For example, imagine you work for a wholesale watch company called Batch Watch . You want to explain a financing operation in which the company has the option of two loans to fund the initial costs of 10,000 watches. These loans have different interest rates and maturity dates. Loan A is better if the company expects to sell the watches within 3 months, while Loan B is better if the company expects to sell over more than 3 months. Each has cancellation fees and cash flow impacts.

Instead of showing the cancellation fees and cash flow impact of the each loan, all you need to say is “ we expect the company to sell them within 3 months, and we recommend loan A for that reason.” If the executives disagree on the sale timeline, they will ask for more information.

This is how you keep senior executives engaged, by integrating them in the story you tell. Ultimately, the essential message of your presentation should be how much profit the company will make from the watch funding operation. Senior executives should leave feeling like the project is in good hands with you, and they only feel that way when you tell a story around the essential message .

Whatever the Message, Use Data

Whatever message you want to send, it needs to be backed up by data. In the example above the data was financial, but it’s not always that simple. Context may require you to provide KPIs and perform extensive data analysis that culminates in a small output that your viewers can easily digest.

The Only Words Should be “Thought Starters”

As a general presentation principle, you should not write many thoughts down on presentation slides. Words have two negative impacts on the audience: they demand energy from the reader, and they make the reader feel compelled to read, lest they misunderstand.

If you can avoid putting text blocks altogether, do. If you don’t need any writing at all, don’t. However, if you need guidance as you speak or want to provide reminders for a later data, use “Thought Starters.”

Thought starters are phrases of 3 words maximum that contain ideas leading to the essential message. People often call them “bullet points,” which is common for list-style thought starters. Personally, I prefer to place thought starters at different places on a slide. When I use a chart, for example, I put thought starters at relevant places on the slide.

Keep it Short

Your presentation should never consume more than 80% of the allotted timeframe. This means that if you plan a 5 minutes meeting, deliver the presentation in 4 minutes. If you’re given 30 minutes, do it in 25 minutes. If you have 1 hour, do it in 45 minutes.

By keeping the presentation short, you relieve the audience and you allow for some question buffer. Have you ever sat in a meeting planned for 1 hour, and at 45m it ends early? It’s a pleasure for everyone. Most of us feel like we’re running behind — when you put us ahead of schedule, we love you!

At the same time, senior executives may bombard you with questions throughout the presentation. If you planned to fill the whole timeframe, you won’t finish. But if you planned to finish early, you still have a chance.

And if you use the rest of these best practices and techniques, those senior executives shouldn’t need to ask too many questions!

Practice 7 Times in Advance

There’s a mix of opinions on the number of times you should rehearse a presentation before doing it live, but most people agree that it’s somewhere between 5 and 10 times. But just practicing isn’t enough, there are a few criteria you must meet:

  • Practice in the room you will present in. There’s something about envisioning yourself live that really makes a difference. When you practice in a space other that where you’ll present, it’s good. But when you practice in the “live” room, you’re able to sensitize yourself to the environment, which calms nerves so you can focus on the message.
  • Have an audience. We all behave differently when there’s stimulus of other people around. Whenever possible, get one or two people to whom you can present. In addition to getting used to having an audience, you’ll also get some feedback.
  • Use the same volume of voice. When we’re not “live,” we have a tendency to hold back on our voice. This is detrimental to the presentation because you feel taken off guard by your own voice. Make sure to envision yourself in front of the senior execs when you practice.

Use a CSP Model (Challenge, Solution, Progress)

Every presentation needs structure, but it’s easy to forget that we need to guide our audience. A great way to structure management reports is using the CSP model. CSP stands for Challenge, Solution, Progress, and it’s exactly what it sounds like.

You need to explain the challenge or goal, explain what the solution to the challenge is (or how to achieve the goal), and show where you are in the steps to completing that goal.

For example, let’s look at our Batch Watch case. Imagine you need to find funding for a new product launch — $100,000 to be exact. A sample CSP model for this would be a slide that shows:

By using the CSP model, you guide the audience. However, it’s important to note that the CSP model is not a summary . It’s an overview of the process, but a summary should always come before. Let’s talk about it now.

Begin with a Summary of Exactly 3 Points

Any good presentation begins with a summary. And a good summary communicates the essential message simply in 3 points. However, the summary is not the same thing as the CSP model. Instead, it provides an alternative view on the challenge and and solution.

For example, using our Batch Watch case of funding a new product, you could address a summary in the following way:

  • Challenge, Solution, Progress
  • Funding acquisition
  • Project Timeline

This provides additional details that are most relevant to the project and carry added value to the CSP model.

Use only Bar Charts (aka Column Charts), Line Graphs, and Scatter Plots

Whether it’s for data, financial, and business analyst topics , management presentations should only ever have bar charts, line graphs, and scatter plots. They are common, rich in information, and well understood. Any other kind of graph is distracting more than anything else.

A bar graph is useful when you want to compare like variables. For example, if you want to show the average size of Canadian trout versus American trout. A common mistake, though, is to use bar graphs to show change over time. While it’s not incorrect to do so, line graphs are better for this purpose.

A line graph is useful when you want to show change in one variable over time (we call this time series data). For example, if you want to show the progression of revenues over time, line graphs are the perfect way to do so.

A scatter plot is best when you want to compare a set of observations of one variable to a set of observations of another. It’s the ideal way to quickly visualize the relationship between two variables. For example, if you want to see how company revenues compare to GDP, you could use a scatter plot like this:

For example, let’s look at our Batch Watch case. If we want to see how our company is performing compared to the economy as a whole, we could use this scatter plot. As you can see, we have a positive (bottom left to top right) relationship, but a weak one (points not clustered closely).

Design Slides Using the Company Logo

When you’re presenting to senior executives, you want your slides to look professional. The best way to do that is by putting your company logo on them, including any corporate design standards (colors, fonts, etc). Show through your presentation that you belong to the same company, and that you’re in it in spirit. For example, let’s add the AnalystAnswers.com logo to our CSP slide:

Consultants have many tools of the trade at their disposal — frameworks, analytics dashboards, data science models, and more. Yet many clients still expect to receive a narrated consulting report. So how do you write one? This guide will show you. 

What is a Consulting Report?

A consulting report is a high-level summary of the findings and recommendations a consultant provides for the client. In essence, it’s a long-form document, detailing the background of the research, methodology, and key findings, along with the recommended course of action. Consultancy reports are often followed up by a complimentary presentation, aimed at introducing your research methods and persuading the client of the validity of your recommendations and follow-up execution steps. 

The MIT further states that: 

“Consulting reports are written by outside experts for groups or organizations that do not have the time or the expertise to treat the subject or problem. Hence, a consulting report may present experimental work on a problem defined by a client.”

In other words, consulting research shines extra light on specific problems your client is facing and suggests the expertise to solve them.

This in-depth consulting memo from McKinsey follows a narrative structure. It opens with a compelling executive summary, followed by the main body of research, organized in four main sections. Since this is a briefing document, the group rounds up the report with a future outlook, rather than a list of traditional recommendations, prompting the reader to dwell further on the importance of the discussed issues.

This report errs on the longer side (since it’s also an academic paper submission) and includes comprehensive information on the client, research objectives, methodology, findings, recommendations, and limitations. In business settings, most reports tend to run shorter, however. 

How to Write a Consulting Report: a Bottom-Up Approach 

Anyone working in management consulting or studying in this field will need to master the art of writing business consulting reports. After all, much of your work will be tied directly to discerning those documents to your firm’s clients. 

Yet while you might be a top-notch analyst and strategic thinker, writing may not be your forte. Soundly, it’s a skill you can master with some practice. This section will show you how to write a consulting report from scratch. 

How Do You Format a Consultant Report?

A consulting report should provide a logical flow of information and give clear, coherent answers to the client’s questions. One of the most optimal consulting report formats is this one:

  • Consulting report cover
  • Executive summary 
  • Background 
  • Key facts and business context 
  • Findings 
  • Recommendations
  • Appendices (if any) 

Most consulting report templates follow a variation of this structure. 

1. Start From the Background Section 

The easiest way to get started is by putting down a background section first. Why? For several reasons. First, this is the type of information you receive the earliest into the client’s project. So you can always write it down beforehand. 

Secondly, by writing the background section first, you once again refresh the main problem you were hired to solve and the methods you’ve used. Then you can always get back to this section to double-check if you have properly addressed the stated problems and assumptions in other sections. The background section of a consultant report has to answer the following questions: 

  • What is the project scope?
  • Who and why commissioned the project?
  • What were the initial assumptions?
  • What type of data/assumptions were excluded?
  • Who was involved in the project (from both sides)?
  • Who is the author of the report?
  • What research methods were used? 

2. Highlight the Key Facts

It’s no secret that your readers are busy executives. Most will skim through the recommendation report before finding the time for a proper read-in. Thus, your goal is to put the most important gist right in front of them.

One of the easiest formatting techniques for that is doing three standout sections:

  • Executive summary — a standard high-level summary of the main findings. 
  • Main facts — a featured section with quantifiable stats and facts about the project. 
  • Key recommendations — main takeaways and next steps for the reader.

Pro tip: Use data visualizations — charts, graphs, etc. — to highlight the main data points graphically and showcase the correlations between them.

3. Work on the Findings Sections

“Findings” are the “meatiest” part of your report. This section should introduce solutions to the client’s specific problems. Plus, explain the reasoning and logic behind your research. 

One thing many new consultants struggle with is making the findings sections coherent and logically organized. If that’s your case, try the MECE technique . 

Mutually Exclusive, Collectively Exhaustive (MECE) was invented by Barbara Minto, one of the first female consultants at McKinsey, an expert in effective communication, and also the author of Pyramid Principle .

“The great value of the technique is that it forces you to pull out of your head information that you weren’t aware was there, and then helps you to develop and shape it until the thinking is crystal clear. Until you do that, you can’t make good decisions on slides or video.” Barbara Minto

The MECE structure helps you ensure that within any bucket of data (e.g. one finding) all the information is:

  • Mutually exclusive (ME) — neither set overlaps with one another. 
  • Collectively exhaustive (CE) — neither set has obvious omissions or information gaps.

The easiest way to verify that all your findings are MECE is to create a decision tree diagram for the main sections and use it as a reference when writing.

4. Create a List of Recommendations 

Recommendations should be very concrete, succinct “next steps” for the client. Think of them as report takeaways — one-liners anyone can easily remember and retell to another stakeholder.

Here are several effective formulas for framing your recommendations in a management consulting report: 

  • To help you with X, we recommend Y, because of Z. 
  • Data showed us that issue X, related to goal Y, can be solved with the Z approach. 
  • We used [tool/approach/tech] X to analyze issue Y, and recommend Z as the optimal course of action. 

5. Work on the Executive Summary 

Finally, get back to the executive summary. Writing it last (after completing other sections) makes the job easier since you just have to cherry-pick the most important findings and recommendations. Then bring them up to the beginning of the copy. 

One good technique to try for writing an executive summary is the BLUF method . Short for bottom line up front, this communication technique developed by the military prompts you to put the most important details first, then elaborate via secondary information.

How to Present a Consulting Report 

In most cases, you’ll not just hand in the report to the client, but will also do a short presentation, summarizing the main findings. Here’s how to prepare for it. 

1. State the Background/Context First 

Peter Block, a veteran consultant and published author, writes in “ Flawless Consulting ” book that:

The consultant’s primary task is to present the picture — this is 70 percent of the contribution you have to make.

Most clients want to understand their business position at present (as-is state) and see the big picture of reaching the desired to-be state — aka a point where their main goal(s) is fulfilled. 

As a consultant, you have to connect these two points for them. So first articulate the problem very clearly. Explain why the client is in the current state and why they must act now. Back your claims with relevant data points. 

Peter Block recommends selecting data in the following manner: 

  • The client can change these 
  • The metrics are important to the organization 
  • The company already works to improve these metrics (at least to some extent) 

2. Demonstrate What Can Be Done 

The goal of your recommendations report presentation is to make the client trust your judgment and follow-up on suggestions. Then persuade them what the recommendations you are proposing will do good for their business.

One of the most efficient presentation techniques, in this case, is modeling different scenarios. For example:

  • Before/after implementing recommendations 
  • Alternative paths — present multiple options and scenarios 
  • Likely outcomes e.g. If/then for different recommendations 

During this part of your presentation, your goal is to show the audience “what you would have down in their shoes”. 

3. Elaborate On Your Strategy 

To overcome doubts and initial resistance, you not just need to show the client that this is a solid way forward but also explain the rationale behind it. What you want to do is find out what is bothering them and then address those issues in your presentation.

Specifically, you need to explain why your recommendations are not just plausible but warranted. So allocate several slides in your consulting report presentation towards explaining your:

  • Methodology
  • Frameworks 
  • Tools and technology 

In each case, focus on communicating the rationale behind your decision-making. Then, once again, highlight how your findings/recommendations will help the client reach their goals. 

Close your consulting presentation with a compelling slide, showing the outcomes they can gain if they choose to go with your recommendations.

No one becomes a great public speaker or presenter without practice. And almost everyone can recall a time one of their presentations went badly — that’s a painful part of the learning process.

Whether you’re working within a small creative team or a large organization, public speaking and presentation skills are vital to communicating your ideas. Knowing how to present your vision can help you pitch concepts to clients, present ideas to your team, and develop the confidence to participate in team meetings.

If you have an upcoming presentation on the horizon and feel nervous, that’s normal. Around 15-30% of the general population experience a fear of public speaking . And, unfortunately, social anxiety is on the rise, with a 12% increase in adults over the last 20 years . 

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love , and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise.

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Learning how to give a good presentation can feel overwhelming — but remember, practice makes progress. Rehearse your presentation for someone you trust, collect their feedback , and revise. Practicing your presentation skills is helpful for any job, and every challenge is a chance to grow.
