The music you choose for your presentation can do many things for your audience - it can lighten the mood, drive excitement, or even set a pace. The key is to choose the appropriate music for your presentation and have it play at an acceptable volume.

PowerPoint is one of the most widely used presentation tools. The music playing in the background helps make a presentation more fun than it would be without the music, but there's often confusion over how to set up the audio track properly.
There are two basic file types you'll need to know - MP3s and WAVs. An MP3 is a compressed copy of an audio track that can be downloaded quickly. A WAV, or Waveform Audio File, is a digital format that supports higher quality, uncompressed audio, meaning it takes longer to download.
Both formats work in PowerPoint, but your choice depends on the type of presentation and how much music you want to include. To download music you need to add liked tracks to the Shopping cart, proceed to checkout and complete your payment. Download music instantly from the My Music > Tracks page.
- Select the slide you want to add music.
- On the Insert tab, click the Audio button.
- Select the option 'Audio on My PC..'
- Find and select your music files and click the Insert button.
- Now you can set up a volume level for music.
- Click on a sound icon to enable the Audio Tools panel.
- Set on the checkbox 'Play Across Slides' so the music will play continuously throughout your presentation.

2. Tone is Important
Setting the right tone that relates to your idea will convey clarity and credibility to your audience. Whether the tone of your pitch is powerful and engaging or gentle and reassuring, the background music should match.
3. Make an Emotional Connection
When pitching your product to investors, let your passion shine through. Your pitch deck should have all of the elements of a great story. If your presentation has a kick-in-the-pants spirit, the right background music will accentuate that.

There are many ways to improve your PowerPoint presentation---adding animations to objects, customizing slide transition styles, and using interesting themes to name a few. In addition to all that, you can also add music to your presentation.
PowerPoint makes it very simple to add music to your presentation. Adding music to your presentation may be a great idea, but there are also cases where it may be considered unprofessional. Weâre not here to tell you when to do it, just how to do it, but make sure itâs appropriate for the situation.
Switch to the "Insert" tab and then click the âAudioâ button.
A menu will appear, giving you the option to either upload music from your PC or record your own audio track.
If youâd like to record your own audio, select âRecord Audio,â and the âRecord Soundâ window will appear. Go ahead and give your audio a name, then click the âRecordâ icon when youâre ready to start.
After the âRecordâ icon is selected, a timer will start which gives you the total length of the sound being recorded. Once youâre ready to stop recording, press the âStopâ icon. To listen to your recording, you can press the âPlayâ icon. If youâre happy with what you're recording, select âOKâ to insert it into your presentation.
If you prefer to upload music from your PC instead, go back to the audio options menu and select âAudio on My PC.â This will open your PCâs directory. Locate the audio file youâd like to use, then select âInsertâ at the bottom-right of the window. PowerPoint supports several popular formats, like MP3, MP4, WAV, and AAC.
Now youâll see a speaker icon appear in your presentation. Here, you can play the audio, control the volume, and move the audio back or forward 0.25 seconds.
Additionally, the âPlaybackâ tab appears in the ribbon. By default, the âAudio Styleâ is automatically set to âNo Style.â This means that the audio will only play on the slide where you insert it, the icon will appear in the presentation, and the audio will only begin once you click that icon.
But you can change all that. You can use the options here to adjust the default playback volume, choose whether the music starts automatically or on a click, whether it plays across other slides, whether it loops until you stop it, and so on.
Weâre going to change this by selecting âPlay in Backgroundâ in the âAudio Stylesâ section.
There are a few other options available to you, as well. You can add (or remove) bookmarks for specific times in your audio clip, trim parts of the audio, and give your audio a fade in/out effect.

How to use music to make better presentations
It’s a tricky thing. There are some huge advantages to using music, but some pretty significant pitfalls, too. So here’s your guide to using music well, and avoiding the things can can go wrong.
Why use music? An overview
Music is intended and designed to be an emotional phenomena. That means you can use it to shift and enhance moods in your audience before your presentation… and during it or after it if you like!
Not sure it works? Never been to the movies then! This simple example messes around with a horror scene.
Want to shift the atmosphere towards more positive? Add upbeat music! Want your audience to be a bit more contemplative, use slower, gentle background music. It really is as simple as that.
In other words, you can use music to work on your audience’s emotions in the same way as good slides can do, visually. The disadvantage of music is that you can’t really use it on its own, unlike good slides, but the advantage of that is that you can use it in the background, alongside other things.
Pro-tip. Don’t use it for things like “trying to get people to learn more”. As far as I can tell from the research papers I’ve read, that not really a thing so much as something people made up to sell to pregnant women who were desperate to give their baby a head start in life.
Given the pro-tip above, the best things to do with music are emotional manipulation of your audience – I can’t claim the following ideas are written in tablets of stone, but I’ve found them very useful over 12 years as a professional presenter.
Atmosphere before your presentation
As your audience arrive in dribs and drabs, it’s easy for them to feel exposed and out of place. Many audiences can feel as nervous about being in the audience as presenters feel about being at the front of the room! With that in mind, appropriate music can do wonders for making people feel welcome and give the room a buzz or an atmosphere before you start your presentation.
It’s probably too much of a dirty trick for lots of people, but I even know one presenter who mixes in backgrounds of groups of people chatting to give an atmosphere! Machiavellian, I know, but I have to admit it’s very effective.
Wind up to the start of your presentation
This is something of a clever variation of the first idea and it works like this. Start your background music with just enough to have the right effect but nothing too overt, but as the start of your presentation gets closer, shift the style (or even the volume) of the music so that it “builds up”.
It’s a technique beloved of theatre directors, and with good reason – because it works. You can carefully build anticipation of what you’re going to say with clever use of the music.
A confidence booster for you
I don’t use work on music, ‘cos I’m not that pretentious but I do have pieces of music I like to hear played. Obviously your mileage will vary but hearing “ I am the Doctor ” always puts my head in a good place, ready to present. It’s a great piece of music for me for a lot of personal reasons and I’m lucky that it works technically, too, as it’s the right tempo for when I want to use it, and sufficiently obscure for it not to distract people (see below).
I tend to include it in some pre-presentation play-lists, close to when the presentation is due to start.
Filler during your presentation
I’m not a huge fan of this kind of thing, because it smacks of lazy presenting, but there are times when it’s entirely appropriate to ask your audience to think or converse amongst themselves. A slide with background music is a god-send for moments like this.
It covers any embarrassment your audience members might feel at first, it makes it look like you’re doing this deliberately and not as padding or in panic (trust me, I’ve seen presentations that do both of these!).
What’s more, it works as a timer!
You can tell your audience that you’re only going to give them three minutes but getting them to stop at the end is something of a shocker for them. But if you’ve got a three minute piece of music that clearly signals the end of the three minutes as it approaches, it’s very helpful. (A countdown timer on your screen works, but it’s a bit officious/crude but also less effective – anyone looking at the countdown timer isn’t looking at their partner in the audience!)
What can go wrong with music in your presentations – let’s talk logistics
Let’s start with the obvious. If you can’t make the music play well you’re worse than wasting your time. Bad-sounding music will undo all the good things about music in your presentation. In fact it’s worse, because it actively annoys people and makes them think you’re not technically competent. (And unfortunately the Oppenheimer effect can kill your presentation if that happens.)
Most projectors and laptops will take music and play it. You need to have the right cables and figure out to how to use the damned things (they’re all different!) to be able to control the volume and so on, but… … but the sound quality they have isn’t necessarily helpful to your presentation. Something tiny and without any bass will stress people.
My advice is two-fold:
- get there well in advance of your audience (not just before your presentation time, but ahead of your audience!) with enough time to test thing
- take your own speakers
Let’s talk about that second idea for a moment – small, portable, bluetooth speakers can give a really good sound these days and it’s something you can test and set up in the comfort of your own office before you go to the venue. You’re not reliant on the venue’s kit.
Pro- tip – don’t automatically have the speaker right at the front, next to your computer. That might be the right place to put it, but for lots of venues a better place is on a chair or a desk a few rows into the audience. That way the sound carries better to the people at the back. (It also looks slicker – so you at least look like you know what you’re doing! đ )
The less obvious presentation problem – psychology
The whole point of music is that it hits you in your emotions. You know that – you’ve got a favourite song, just like everyone else (though it’s probably different to everyone else’s). Music is supposed to be like that.
That’s it’s strength in presentations but also a significant ‘gotcha’. Imagine you’re using some background music for a audience exercise, or to give atmosphere before you start (or even as walk-on music if you’re in the big leagues)… and the music you use is someone’s favourite song… or the song they played at their father’s funeral, or … you get the idea.
Music with that kind of emotional impact is a pain, as it pretty much stops that person concentrating on what you’re saying while they process their emotions.
Here’s my solution – use obscure music . If no one has heard of the music before, no one can have it as their favourite song.
In an ideal world, of course, you’d have it composed (or compose it yourself) especially for you, so that no one could know about it, but that’s either going to cost you time or cost you money!
Pro-tip – make it instrumental. That way two good things happen. The first is that it’s less intrusive for your audience; and secondly, you’ll never risk the embarrassment of inappropriate lyrics. It might not be something rude, but it could just be something someone objects to in some very personal way… and before you ask, yes, that’s the voice of experience.
Finally, there’s the problem that your audience might just not like it. Use your common sense here but don’t use the idea as an excuse. My experience is that the reason no one uses music in their presentation in most organisations is because no one else is… and when they try it (and get it right!) it’s a real enhancement to their presentation’s impact!

- In Los Angeles, A Little New Music is (according to their website) âthe best hour of new and unheard musical theatre material in LA.â Alittlenewmusic.org .
- In New York City, the Programming Director of Feinsteinâs 54 Below, Jennifer Ashley Tepper, is a good person to know. She schedules appearances and a series that showcases new musicals.
- Sound Bites â 10-Minute Musicals Festival. This annual festival in New York City showcases excerpts or original 10-minute pieces. Submissions open now with September 1st deadline for the January 2017 festival. Multiple musicals can be submitted..
- MTF : The Musical Theatre Factory includes â4 x 15â â evenings of fifteen-minute excerpts from four musicals (Their programs will start up again in the fall).
- NAMT (45 minutes) â This is one of the most prestigious and most difficult to have your work selected as one of eight musicals to be presented in 45-minute excerpts. Submissions open in November for a January deadline.
- NMI is currently enrolling for the Core Curriculum which begins in Sept and culminates in 15-minute musicals next June. Core Curriculum (NMI can livestream classes from locations outside of Los Angeles).
- TRU includes short presentations as part of the workshops for writers.
- The Rhinebeck Writers Retreat offers âMeet the Writersâ concert events for writing teams who have been accepted into their summer program.

With only five minutes for your presentation, you don't want to waste time covering information your audience already knows. To make sure that you reach your audience with material that they can understand and relate too, you need to know as much about them as you can.
If you don't understand your audience, it's unlikely that you'll be able to hold their interest. Research your audience to find out as much as you can about them. A quick way to find out more about your audience is to ask the organization or person who invited you to give the presentation for more information about who you'll be addressing.
Now that you've learned about your audience, it's time to choose a topic.
For short presentations, your topic selection is very important. Some topics just do not lend themselves well to presentations because they're too complex.
Here some crucial points to consider when selecting a presentation topic for a 5-minute presentation:
- Choose a topic you're already familiar with. This will cut the time you spend researching your topic.
- Keep it simple. Avoid complex topics that need lots of explanation. If a topic is complex, pick a single, simple aspect of it to present on, rather than trying to cover it all.
- Stick to one or two main points. Also limit yourself to a minimal number of sub-points. Because your presentation length is limited, it's unlikely you'll have time for more than that.
- Remember your audience's background. I can't say this enoughâto create an engaging presentation you must know your audience.
Now, write your draft:
After your draft is ready, it's time to start thinking about how your presentation is going to look.
Even short presentations need to look nice. Since this is a quick presentation, you'll save lots of time by using a template.
Templates give your presentation a professional look without you needing to spend the money to hire a professional designer or the time to design your own template. For most presentation templates, just insert your own information in the appropriate places and add your own images. Then, remove the slides from the template that you do not need.

Since your presentation is so short, you'll want to pay some extra attention to the opening. You probably don't have time to show a video or play complex animations. You may not even have time to play a soundtrack.
That's okay. There are other ways to grab your audience's attention. These quick attention grabbers are great for short presentations:
- storytelling
- poll the audience
- mention a startling statistic
- show a compelling image
In a short presentation, it's also a good idea to organize your material so that your most important point is discussed first. This insures that you've covered your most important point in case either of the following happens:
- You run out of time.
- Your audience loses interest.
Your short presentation should be starting to come together now, but you're not ready to give your presentation until you complete the next step.
For a short speech, practice is critical. Timing your presentation is also the only way to know for sure how long it'll take. The shorter the presentation the more crucial it is that you time your speech. For example, if you're giving a 5-minute presentation for a job interview, you'll really want to stay within the required time frame!Â
Practice gives you a chance to really polish your presentation. Focus on sounding comfortable and confident. Work on eliminating or reducing any distracting personal habits. Many speakers benefit from having a third party listen as they practice.
Ideally, you want to be able to present your material without reading it verbatim (which can sound stilted and unnatural). So, you'll be learning your material as you practice.
Once you feel confident about your presentation, time it. Have a colleague or friend help you keep track of how long you speak. Or use a recording device or other electronic timer.
If you find that your presentation runs over the five-minute mark, remove some of your less important points from the end. Be cautious about doing this, though. Nerves can cause many speakers to speak more quickly during the actual presentation than they normally would.
If your presentation falls short of the five-minute mark, add another short point or summarize what you've discussed to make up the time difference.
You're basically ready to give your 5-minute presentation. But there are a few more things you should know.
When creating a timed, quick presentation, a common question is "how many PowerPoint slides do I need for a presentation that lasts X minutes?"
The answer is ... it depends. There are many variables that determine the number of slides required to fill a specific time slot.
Not all slides are created equal. You'll want to discuss the information on some in more detail because it's more complex. Other slides, such as images, may require no discussion on your part. Also, every speaker speaks at a different pace. So, someone who speaks quickly will probably require more slides than someone who speaks more slowly.
These variables are why it's so important to time your presentation before you give it.
Remember, though, being nervous can make you speak more quickly than you normally would. So, try to keep your pace normal. A short pause between points can help you get your bearings, even if you're giving a presentation in 5 minutes.
The most common presentation mistake is to have too many slides. Having too many slides poses a problem in several ways:
- It's harder for you, as a speaker to keep up with all that material. You're more likely to have to read your presentation.
- Your audience is unlikely to remember all that material anyway. Your main point is likely to get lost.
- In a shorter presentation, you're more likely to run out of time.
While I can't tell you exactly how many PowerPoint slides for a five minute presentation, I can provide you with some overall guidelines that'll work for many speakers. Use these guidelines to plan your presentation and adapt them as needed.
Slide Guidelines for Various Presentation Lengths
Even the experts disagree on how much time you should spend on a single slide. And not all slides in your slide presentation require the same amount of time to present. Still, there are some steps you can use to figure out how many slides you'll need.
Start by dividing your presentation into two types of slides:
- Simple. A simple slide requires very little explanation on your part. Examples of this type of slide would be your title slide or a graphic that speaks for itself. Aside from your title slide, most experts agree that you should try to spend less than 30 seconds on a simple slide.
- Complex. This slide requires some explanation on your part. These are the slides that you'll use to convey your message. Most experts agree that you should spend between one and no more than three minutes on this type of slide. When you're timing your presentation if you find that a slide takes more than three minutes to present, divide it into two slides.
During your practice session, pay attention to how long each type of slide takes you to present. If you've given lots of presentations already, you may already know. If you're new to giving presentations, you'll have to get this figure when you time your presentation as you practice.
Here's how these guidelines might play out when planning different length presentations:
- 1-Minute Presentation . Stick to one main idea. Keep it simple. A single slide may be enough. But use no more than two slides--one of which is a title slide with the company name and presentation title that won't require discussion. If you can, have the title slide on the screen before your presentation starts. Leave it up as you introduce the presentation (about 15 seconds). The second slide covers a very simple main point (plan on 45 seconds to discuss it). You may have no sub-points and no discussion, as this is a very short talk.
- 3-Minute Presentation. Again, stick to one or two simple, main ideas. You may have several simple sub-points. Use the company name slide to open your presentation (15 seconds). If your topic is complex, you may spend nearly the entire three minutes on a single slide. For simple topics that require less than a minute per slide, you may need up to six slides.
- 5-Minute Presentation. For this slightly longer presentation you can cover four very simple points or one complex point with several sub-points. Plan on a title slide (up to 30 seconds), and you can insert some opening humor or other attention grabber. With a complex topic slide you may find yourself spending three minutes on it, which would leave about a minute and a half for two sub-points--so four slides in that scenario. You may need up to ten slides if your topics are very simple.
- 15-Minute Presentation. With a longer presentation like this, plan on a pause of several minutes after about seven minutes. You could use this time as a question-and-answer period. Or just allow your audience to stretch. Following the break, you'll need another attention grabber. You also have time to include more complex attention grabbers such as short videos and animations. You could need between five and 20 slides, depending on the complexity of your material.
- 30-Minute or Longer Presentations. Longer presentations allow you to present more material that's more complex. You're also likely to include more slides. When creating a longer presentation, don't forget to allow for your audience's human needs. You'll need to include more planned pauses. Also, most experts agree that you should plan on a bathroom break at least once an hour. After the bathroom break, you'll need to recapture your audience's attention again. For very long presentations you may need to plan for a snack or a meal.
You won't know for sure how closely to follow these guidelines unless you time your speech. After practicing, you may find that you need to tweak the guidelines by adding or subtracting a slide. Or if you're spending too much time on a single slide, you may need to narrow down your material.
Below I've included slides that I created using this professional PowerPoint template from Envato Elements. A simple professional PowerPoint template offers a great starting point to work from. These slides are made quickly for a short presentation.
From practicing, I know that this presentation takes approximately two minutes to give. Here's the first slide, which is my title:
For this slide, all the presenter would need to say is their name, the title of the presentation, and the name of the company. Note that not everything the presenter says is on the slide. This title slide took me 15 seconds to present. Your results could vary.
Here's the next slide:
This slide basically introduces the company. Again, not everything I'm going to say is on the slide. This simple slide took me 30 seconds to present.
Here's a second example of a 30 second slide:
The final slide in this very short presentation is a little more complex, but it still only took 45 seconds for me to present:
Many professionals are asked to do variations of the same presentation over and over. Sales professionals, for example, may need to have long and short versions of the same presentation topic. This would mean giving your presentation in 5 minutes or 30 minutes. But how do you scale a large or mini presentation?Â
If this is what you need to do, keep in mind the points above. It's best to create and save the long version presentation first. Then edit the material down and re-save it as a shorter, more focused version of the presentation. Be careful not to overwrite your original presentation though.
